TAMUCC affiliation agreements: when you need one and how to start it

What the agreement is, and how it differs from the packet

The affiliation agreement is an institution-to-institution contract: TAMUCC on one side, the hospital, clinic or practice on the other. It is what allows TAMUCC students to train at that site at all. It is separate from the Preceptor Agreement Packet, which each individual preceptor signs every semester, and a single active site agreement can serve many students and preceptors while it runs.

Texas expects this layering. The Board of Nursing's rule on APRN clinical learning, 22 TAC §219.10, calls for written agreements between the program, the clinical preceptor and the facility that spell out each party's responsibilities. Health systems insist on it as well. CHRISTUS Health requires a signed Clinical Education Affiliation Agreement completed before the term begins, and CHRISTUS Santa Rosa requires a current agreement with the student's program before any rotation there.

Starting the Initiate Affiliation Agreement form

The request is a DocuSign PowerForm titled "Initiate Affiliation Agreement," reached through the link in the FNP Student Clinical Guide. You start it; TAMUCC and the site finish it. Because the agreement ends up signed by all parties, the most useful thing you can do before opening the form is confirm who at the site holds authority to sign contracts, and how that person prefers to be reached.

At a small practice the signer may be the owner or the practice manager. At a large system it is usually a central office, and several Texas systems publish a dedicated contact for school agreements on their clinical education pages. Naming the right office at the outset keeps the request from sitting for weeks with someone who cannot sign it.

After you submit, the agreement moves between TAMUCC's Dean's Office and the site. Let your clinical faculty member know it is pending, and watch Typhon for contract dates to appear.

When an agreement expires mid-semester

A contract can be active on your first day and lapse before your last. For that case, the FNP guide tells you to notify the Affiliation Agreement Liaison, the Dean's Office administrative assistant who handles extensions and renewals. Do it as soon as you see an expiration date inside your term, well before the date itself arrives.

The reason is the hour-counting rule. TAMUCC ties precepted hours to an active agreement, so time at a site after its contract lapses puts those hours at risk. Comparing the expiration date with your semester's last class day (December 2 in Fall 2026, May 3 in Spring 2027) takes a minute in Typhon and can save weeks of work.

Think across the whole program as well. If you hope to return to the same site for NURS 5645 or NURS 5746, check whether its contract runs that far and raise a renewal early.
